Community Lettings Supervisor

The Frontier Learning Trust comprises of two institutions: Woodhouse College and the Imperial College London Mathematics School, based on a vibrant campus in North London. Woodhouse College is a popular and oversubscribed 16-19 academy of around 1500 full-time students. The College is proud of its strong community spirit and friendly supportive atmosphere. Community Lettings Supervisor – evening and weekend role
 
Part-time (average 16 hours per week), permanent, all year round
 
Start date: as soon as possible, or negotiable

Actual salary: £13,409 per annum, (based on a full-time salary of £30,200 p/a)

There are currently two part-time Community Lettings Supervisors, we are looking to appoint a third. The Community Lettings Supervisors report to the Community Lettings Manager (CLM) who manages the lettings of the college facilities. The successful candidate will have excellent communication and interpersonal skills, act as front-line representatives for the Trust lettings: welcoming hirers and monitoring the use of the facilities and hirer needs. The post requires flexibility as it includes working weekends and mostly evenings.
 
Your working days and starting and finishing times will be set and agreed in advance by the CLM based on a rota. This will be from 9.00am to 5.00pm or 10.00am to 6.00pm on a Saturday and 5.00pm until 9.00pm on a Wednesday. In addition, it will be a requirement to work either Fridays or Sundays (working hours will be confirmed by the CLM in advance in a rota). Your daily working hours may change and will vary to meet the requirements of the job and the department. Any changes are discussed with the CLM and agreed in advance. A lunch break of up to one hour when working over 7 hours per day (in this case, during the weekends) is available.
 
The Tust can offer a very attractive pension scheme, and generous annual leave. The salary will be at Point 9 of the support staff salary spine, currently £26,818 pro-rata, plus £3,382 Outer London Weighting pro-rata per annum. The actual salary will be £13,409 inclusive per annum.

Job Purpose
 
The post holder will become part of a friendly and close community when joining the Frontier Learning Trust and will be expected to support its aims and ethos. As is the case with other cross-trust service teams, this is a particularly important role because the lettings team provides a vital service to the Trust in terms of building community links and generating additional revenue streams.
 
The role involves working in a team and independently under the line management of the Community Lettings Manager (CLM). The responsibilities include being a key holder for the campus ensuring that the site is accessible to groups who have booked facilities as well as controlling access for areas that are not booked. The post holder will carry out setting up and down of equipment as well as undertaking general housekeeping responsibilities such as litter picking, replenishing toilets rolls, emptying waste receptacles, sweeping/mopping floors etc.
 
Lettings are offered outside of what are considered normal Trust hours and as such this role is suited to someone who can work evenings and weekends across the year. The role will require the post holder to be confident about working alone; this will be supported by lone working practice and appropriate training.
The majority of annual leave will be expected to be taken during Trust holiday periods.
 
Duties and Responsibilities
 
• To maintain robust security measures whilst on the premises in order to uphold the preservation of buildings and the safety of people who use the campus.
• To ensure only authorised people such as hirers are on the premises.
• Opening and closing of campus in accordance with working hours and bookings – this will normally include unlocking/locking of doors, windows, gates, blinds and switching off electrical items as appropriate.
• Ensuring that there are no trespassers or intruders on campus prior to locking up.
• Liaising with the CLM and the Estates Manager if there are any concerns during shifts.
• Setting and disarming alarm systems (fire and intruder) and being available for call outs on occasion.
• To interact with all hirers in a polite, friendly and efficient manner and act as a front-line representative for Trust lettings ensuring all visitors have a safe and first-class customer experience of using the Trust facilities.
• To routinely and systematically monitor hirers and ensure that they are complying with hiring terms and conditions and that facilities are being used respectfully.
o This responsibility extends to the monitoring of the campus car park ensuring that, where applicable, capacity is not exceeded and that vehicles are parked without causing obstruction. Equally that drivers are obeying the correct protocols surrounding access/egress and adopting a safe speed whilst on Trust grounds.
• To monitor the booking system to ensure that clients have paid and that start and finish times for groups are managed effectively.
• Report any transgressions of hires to the CLM without undue delay.
• To safely store equipment (e.g. goals, furniture) in the correct area after the hire period is completed.
• To receive incoming calls via the lettings’ mobile from clients and respond to walkie talkie communications in a polite, professional and timely manner.
• To ensure that the campus grounds are litter free following lettings usage.
• To dispose of waste materials in a safe, hygienic and environmentally responsible manner ensuring that they are available for collection as required.
• To use Microsoft Outlook for internal and external email communications with colleagues and clients.
• To ensure that all/any areas booked by clients are available in good time and that these areas are clean and tidy both before and after bookings
• Servicing of changing rooms and toilet facilities – making sure they are clean and well stocked as appropriate; housekeeping responsibility extends beyond these areas and includes external areas of the grounds such as the car parks, quad and main frontage.
• Regular inspection of the 3G pitch and maintenance as required such as affixing netting, wheels and fixings on goals posts.
• To act as fire warden and first aider supporting with ANY emergencies in a calm and professional manner.
• To work flexibly and cover for work colleagues where applicable.
• To work alongside and liaise with the Trust caretaking team, as appropriate.
 
Other:
 
• To undertake training and development relevant to the post.
• To assist the CLM with marketing and promotion of the lettings provision at the Trust.
• To assist the caretaking staff with duties across the campus when required.
• To undertake any other duties as directed by the CLM, the Estates Manager and the Senior Leadership Team in accordance with the role.

• Strong IT skills (Microsoft Office generally and especially MS Outlook)
• Willingness to undertake appropriate training including First Aid and Fire Warden training
• An understanding of health and safety matters and an ability to spot and act on risky situations in real time
